How To Create Billing Codes

Note: Only administrators or those user types with permission can access the system management section. 



1. Select System Management from the left-hand menu. Then click on Billing Codes.



2. Next click on the "Create" button.



3. A pop will appear titled "Billing Code". Any red fields are mandatory fields and will need to be filled in before saving. Now you can enter the: Billing code name, funding source, billing code rate, usual and customary rate, max per day and billing time. 


You can also select how the billing code will work and additional rules. This can be done by placing a checkmark next to the properties you want the billing code to have. Hovering over the rules title will show a discerption of what the rule does.


4.  Continue to scroll down to fill in the billing code: Areas, Place of service, Signatures and Progress notes.


5. If you do not want to collect progress notes for this billing code leave the progress note enable box unchecked. You can click on "Save" to finish the billing code creation.



6. If you do want to collect progress notes with you billing code. Click on enable progress notes.



7. Next select which fields you would like to collect for your progress notes. 

Supervisor approval required, requires a supervisor assigned to the client approval all submitted progress notes.


Next section is the custom section of the progress notes. You can use this section to add additional fields that your clinicians can fill out when doing their notes.

Title: Enter the title of the custom field.

Field type:  Select the type of custom field your progress note is going to be. You have the option of: Text field, Test Area, Date field, Checkbox and Radio Button.

Required: You this checkbox if you require this form be filled out with the progress note.

Sample note: Use to write a sample of how this section should be filled in.

Instructions: How to fill out the form,

Minimum characters:  Set the character limit for the selected field type.

If you require addition fields, use the + button to add addition custom fields.


8. Next you can select: Reduction behaviors, Programmed Skills, Assessed Skills, Interventions, Reduction Objectives and Acquisition Objectives to be included in your progress notes. Click on each one that you would like to include on the progress note.



9. Next you can select to include: Billing Info, Place of Service, Custom Notes, Reduction Behaviors, Programmed Skills, Assessed Skills, Interventions, Reduction Objectives, Acquisition Objectives and Digital Signature. 

To select them click on the required checkbox. You can also rearrange the order these fields will appear in the progress notes. To do this click on the 6 black dots and drag the field in the order you want them to appear.



10. Once you are done fill out the fields for the billing code and progress note. Click on the "Save" button.
